How much does AI automation cost?

Updated 2026-09-04 · 630 words · answered from our own prices and projects

Short answerread in a minute

From €500 per process and from €1 500 for a system of several processes, fixed in writing before work starts. A process is one path, for example an enquiry that gets a drafted reply and a follow-up, or a booking that gets a confirmation and a reminder.

The price goes up with the number of systems to connect and the number of exceptions a person has to handle. Running costs after handover are the model’s usage bill and the tools you already pay for; we show the expected bill in the quote.

Price per process, not per month

We price automation as a fixed amount per process, not as a monthly retainer. A process is one path a customer or a document takes through your company: an enquiry from a form or a chat that gets a drafted reply, a booking that gets a confirmation and a reminder, an invoice that gets logged and chased.

One process starts from €500. A system of several processes that share data, for example enquiries, bookings and reminders on top of one customer list, starts from €1 500. The number on the quote is the number on the invoice; scope changes are priced as new work, in writing.

What is included in one process

The map of the process as it runs today, drawn with you; the connection to the tools where the data lives; the rules for what the system drafts and what goes to a person; the drafts themselves; a test on real cases before launch; and a handover with the rules written down.

Two things are always included and never optional: a person approves anything that goes to a customer, and the system says when a reply was drafted by an assistant. Both are on our trust page.

  • A map of the process and the exceptions
  • Connection to your inbox, calendar, CRM or spreadsheet
  • Drafts, rules and handovers written down
  • A test on real cases and a handover session

What makes automation more expensive

Three things. Systems that have no proper way to connect, so the data has to be read from a screen or a PDF. Processes with many exceptions, where every fifth case needs a different rule. And data that does not exist in writing yet: if the price list is in someone’s head, the assistant cannot draft with it until it is written down.

A fourth, which we say out loud on the first call: if the process changes every month, automating it now is money spent on the wrong version. We would rather map it and wait.

Running costs after handover

The model’s usage bill, which is billed by the provider by volume and at small-business volumes is small relative to a person’s time; the tools you already pay for, such as the CRM or the mailbox; and, if you want it, a maintenance arrangement with us for changes and checks.

We show the expected monthly bill in the quote, with the assumptions written next to it, and we build so that you can turn any process off in one place.

How this compares with an agent or a CRM

A custom AI agent, an assistant that answers customers from your own data, is priced separately and starts from €500 for a basic assistant. A custom CRM, the place where the customer records live, starts from €1 500. Often the honest answer to “how much does automation cost” is “first the CRM, then one process on top of it”, and we say so.

When this answer does not work

When this price does not apply

If the process does not exist yet, if it changes every month, or if the data it needs lives only in someone’s head, a fixed price would be a guess. In those cases we start with an audit: one call, a written map of where a system pays off first, and prices from the ladder for each step. The audit is priced after a call and does not oblige you to build with us.

Questions

Related questions

Is €500 per process a starting price or a typical price?

A starting price for one process with one connection and few exceptions. Most first projects land at one process or a small system of two or three, priced between the two starting points on the ladder, and the quote says which.

Do you charge a monthly fee for automation?

No monthly fee is required. The build is a fixed price; after handover you pay the model’s usage bill to the provider and your existing tools. A maintenance arrangement with us is optional and priced separately.

Can we start with one process and add more later?

Yes, that is the usual path. The first process is built so the next ones share its data and rules; each addition is priced as its own fixed amount.

Tell us which process eats the most time.

We reply with a fixed price for that one process, on one page.
