How much does a custom CRM cost?
From €1 500, fixed in writing, for a CRM built around your process: your stages, your fields, your team, no per-seat fees after launch. The price rises with the number of integrations and the number of people and roles who use it.
Over two years a custom CRM is compared against per-seat tools by multiplying seats by months; for a team that grows, the custom one often costs less, and for a team of two a ready-made tool usually wins. We say which on the first call.
See what a custom CRM includes →Custom versus per-seat tools over two years
A ready-made CRM is paid per seat per month; the price scales with the team and with the tier that unlocks the feature you need. A custom CRM is paid once for the build and then costs hosting and, optionally, changes.
The comparison is simple arithmetic: seats times months times the tier price, against the build price plus hosting. For two people, the ready-made tool wins almost always. For a team of eight with a process that needs the expensive tier, the custom one usually wins within the two years. We do the arithmetic on the call, with your numbers, and show it.
What drives the price of a custom CRM
The number of stages and fields is not the driver; those are cheap. The drivers are integrations, roles and automation. Every system the CRM has to read or write, every role with its own view and permissions, and every automatic step, such as a reminder or a drafted reply, adds work.
A CRM for one team with one pipeline and one integration is the €1 500 case. A CRM for sales, production and accounting, each with its own view, connected to the site, the mailbox and the invoicing tool, is priced on the ladder above it and the quote lists each part.
- Integrations: site, mailbox, calendar, invoicing, warehouse
- Roles: who sees what and who can change what
- Automation: reminders, drafts, handovers
- Data migration from the old tool or spreadsheet
Integrations that cost extra
Anything that has a proper way to connect is priced as a standard part: a website form, a mailbox, a calendar, most invoicing tools. Anything that does not, such as a system that only exports PDFs or a portal with no connection at all, costs more because the data has to be read another way, and sometimes the honest answer is that it should not be connected.
Migration from a spreadsheet is usually small; migration from another CRM with years of history is priced separately, after we see the export.
Ownership and running costs
The CRM runs in your account, on hosting in your name, with the code and the data yours. Running costs are hosting, which for a small business is small, and any changes you ask for later. There are no per-seat fees, so adding a person costs nothing.
When this answer does not work
When a custom CRM is the wrong answer
A team of two with a standard sales process should use a ready-made tool and spend the money on the process that feeds it. A business whose process is not stable yet should map it first; a CRM built around a process that changes every month is built twice. In both cases we say so, and often the first project is one automation on top of a ready-made tool, not a CRM.

Is a custom CRM cheaper than a ready-made one?
Over two years, for a growing team on an expensive tier, usually yes. For a team of two, usually no. We do the arithmetic with your seats and your tier on the first call and show it.
How long does a custom CRM take to build?
From a month for one team with one pipeline and one integration. Several roles and several integrations take longer, and the date is fixed in the quote.
Can a custom CRM connect to our website and accounting?
Yes, both are standard parts when the tools have a proper way to connect. Tools without one are priced separately or, sometimes, honestly left unconnected.
Tell us how many people and which tools.
We do the two-year arithmetic and reply with a price, or with a recommendation to use a ready-made tool.
